A shipment checklist that starts before pickup.

Gather the details that affect equipment, scheduling, and a useful freight quote.

Describe the freight as it will ship.

Measure the packed handling units, not just the product inside. Include pallets, crates, and any projections. Flag uncertain measurements for confirmation rather than treating them as final.

  • Commodity and packaging type
  • Handling-unit count and dimensions for each size
  • Total weight including packaging
  • Stackability and orientation restrictions
  • Any temperature, hazardous-material, or special handling requirements

Give both facilities a complete profile.

Confirm the pickup and delivery addresses with on-site contacts. Include receiving hours and appointment requirements. A commercial location may still require a liftgate or have limited truck access.

  • Dock or forklift availability
  • Liftgate, residential, or limited-access needs
  • Loading and unloading responsibilities
  • Reference numbers and facility contact details

Separate readiness from delivery urgency.

Provide the date the freight will actually be ready, the pickup window, and the required delivery date. Identify firm deadlines and flexible preferences separately. Ask which timing commitments have been confirmed.

Review changes before the truck arrives.

If quantity, weight, dimensions, dates, or services change after quoting, send the revised details for review. Keep the shipment request and final instructions aligned so the dock team and transportation provider work from the same information.
